Privacy Notice for Clients (GDPR)

How will my data be stored?
Your personal data is stored securely in accordance with UK GDPR (General Data Protection Regulation) and the Data Protection Act. This ensures your personal and sensitive information is kept private and protected.
What lawful basis do I use to process your data?
I process personal data under the lawful basis of legitimate interests, meaning:
- Purpose: I collect and store information to provide safe and effective hypnotherapy services, manage appointments, maintain professional records, and meet legal/insurance obligations.
- Necessity: I only collect information that is necessary for our therapeutic work together.
- Balance: I take care to ensure your privacy is respected and that data collected is limited to what is relevant and proportionate to the service provided.
How long will you hold my information for?
In line with professional guidance and insurance requirements, client records are kept securely for:
- 8 years after the last contact for adult clients
- For clients under 18 at the time of last session:
- up to age 25, or
- age 26 if aged 17–18 at last contact
Can I access the information you hold about me?
Yes. Under UK GDPR, you can request a copy of your personal data (a Subject Access Request). I will respond within 30 days and carry out a reasonable and proportionate search for relevant information.

Why do you collect my information?
Your information is used to:
- Maintain accurate clinical records
- Provide hypnotherapy services you request
- Meet legal, safeguarding, and insurance obligations
- Communicate with you about appointments or services
- Improve and maintain service quality
- Contact you for feedback where appropriate
How is your information kept secure?
Your data is stored securely as:
- Digital records: stored in password-protected systems with two-factor authentication
- Paper records: stored in a locked, secure cabinet between sessions
Is what I say in sessions confidential?
Yes. Everything discussed in sessions is confidential except where:
- I need professional supervision (no identifying details are shared), or
- There is a risk of harm to you or others, or a safeguarding concern
Do you discuss my information with others?
Only with your explicit written consent, unless there is a safeguarding or legal requirement.
What happens if we meet outside of sessions?
If we do not know each other outside of the therapeutic relationship, I will not acknowledge you in public unless you initiate contact.
How can I complain about data use?
If you have concerns about how your personal data has been handled, you can contact me directly at frances@10hypnotherapy.com.
I will:
- Acknowledge your complaint within 30 days
- Investigate and respond as quickly as possible
- Keep you informed of progress
If you are not satisfied with the outcome, you can escalate your complaint to the Information Commissioner’s Office (ICO).
Email marketing and mailing list
If you subscribe to my mailing list, I will use your name and email address to send you occasional updates, newsletters, and information about my services.
- This is managed via Kit (email marketing platform)
- You can unsubscribe at any time using the link in any email
- Your data is stored securely within Kit’s systems
- I only send marketing emails where you have:
- explicitly opted in (consent), or
- where there is a legitimate interest and you have an option to opt out
I do not sell or share your data with third parties for marketing purposes.
Consent to receive Solution Focused Hypnotherapy

- I understand that I’m embarking on a course of Solution Focused Hypnotherapy from 10 Hypnotherapy.
- I understand that hypnotherapy is a collaborative journey. My commitment and openness will enhance the success of my treatment.
- I undertake to listen to the hypnosis audio every night as an important part of my treatment.
- I undertake to engage in activities of positivity between sessions, as this will help me achieve my desired outcomes.
- I understand that the success of the treatment is, in part, determined by my desire to achieve the changes.
- I understand that fees for therapy sessions are payable ahead of each session, unless otherwise arranged in advance.
- I understand that starting sessions on time is important, and that sessions will end at the scheduled time. I’m aware of the Cancellation Policy and I will give at least 24-hour notice if I have to cancel a session.
- If the session is taking place online, I confirm I have a comfortable and confidential space where I won’t be overheard, observed, or disturbed and the therapist will be able to see me on camera.
- I understand that if I’m receiving medical treatment, then proper diagnosis must be sought when possible.
- I understand that my therapist follows the National Council for Hypnotherapists (NCH) and the Association for Solution Focused Hypnotherapy (AfSFH) Code of Ethics.
- I understand that any information disclosed during therapy and consultations will remain confidential. Any communication, for example with other medical professionals, will be done with my consent.
- I understand that good practice requires my therapist to access supervision. My case study may be discussed but my identity will remain anonymous at all times.
- I understand that the therapist has a professional obligation to report any concerns if they believe that a client may intend to cause harm to themselves or others.
- I understand that notes from my session will be stored in compliance with GDPR guidelines and for insurance purposes.
- I understand that the duration of therapy predicted by the therapist is an estimate based on previous experience and may take longer than initially planned.
- I have had the process explained to me and understand what is entailed.
- I have been given the opportunity to ask questions.
- I consent to receiving Solution Focused Hypnotherapy by Frances Billi-Holder and agree to the above conditions.
Cancellation Policy

1. Cancellation Deadline: We ask that clients reschedule their appointments at least 48 hours before the scheduled session. Prepaid sessions will be rolled over to your next appointment.
2. Cancellation Methods: Send a WhatsApp message to 07472 642835 or call me.
3. Late Cancellations: Sessions cancelled less than 48 hours before the scheduled appointment will be subject to a full session fee charge. This policy ensures that the therapist’s time is respected and allows us to accommodate other clients who may be on our waiting list.
4. No-Show Policy: If a client fails to show up for a scheduled appointment without prior notice, they will be charged the full session fee.
5. Confirmation of Cancellation: Upon receiving your cancellation request, we will confirm the cancellation and provide any necessary assistance with rescheduling your appointment.
By booking a session with 10 Hypnotherapy, you agree to adhere to the terms of this cancellation policy.
